Customer portal
Your customers see their machines. You get fewer calls.
Each of your customers can sign in and see their own copiers live, the service call in progress and their invoices. When they need you, they report a fault or order toner in a few clicks, and your office has it straight away.

Their machines, live.
For every machine you look after, the customer sees its status, toner bars, any open problem and the latest meter readings. Machines monitored by the SubClik Agent update on their own; the others show what your engineers last recorded.
The office manager no longer has to ring to ask whether the toner has been ordered or when the meter was last read.
Service calls and invoices in one place.
The customer sees their service calls with their own reference, the engineer and the latest update, including the call in progress. Their invoices and credit notes are listed with what is paid, what is due and what is overdue.
If you use Stripe, each open invoice has a Pay by card button; if you use GoCardless, the customer sets up Direct Debit from the portal and sees the date each invoice will be collected.
That means fewer “where is my engineer?” calls and fewer copies of invoices sent by hand.
Report a fault or order toner.
Two buttons, on the machine it is about. A fault report is logged as a service call straight away and the customer gets its number; if that machine already has an open call, their note is added to it instead. A toner order goes onto the office’s list, and the customer can be emailed when it is on its way. Nobody has to retype an email.
The QR label on each machine still works for anyone in the building, with no account needed.
Each customer sees only their own.
Customers sign in with their own account and see only their own company’s machines, calls and invoices. Internal notes and team chat are never shown. Separation is enforced in the database itself, not just on the screen.
Why firms give their customers a portal
Fewer status calls
Customers check the engineer, the toner and the invoice themselves.
Faster requests
Faults and toner orders arrive complete, against the right machine.
Invoices seen
Paid, due and overdue are clear to the customer as well as to you.
A more professional service
Your customer sees their fleet looked after, not just a phone number.
How it works
- Step 1
The office invites a contact at the customer and gives them customer portal access.
- Step 2
The contact signs in and sees their machines, service calls and invoices.
- Step 3
A toner bar runs low; they press Order toner on that machine.
- Step 4
The order reaches your office straight away; record it as sent and the customer is told.
