Issue an invoice

Issuing gives the invoice its number, fixes your and the customer's details, locks the lines and creates the PDF.

Where: Finance › Invoices › (draft) › IssueFor Owners, admins

Step by step

  1. Open the draft and check the lines, totals and details.
  2. Deal with any 0.00 warning.
  3. Click Issue invoice. It shows "Issuing…".
  4. You see "Invoice … issued." and an Open the PDF link.
  5. Email it with Email PDF in the Document card.

What issuing does

Gives the next number from your invoice settings (credit notes have their own CN numbers).

Sets the issue date to today, the due date from payment terms if empty, and the supply date to today if empty.

Copies your company details and the customer's name and address onto the invoice, so later changes do not alter it.

Changes its jobs to invoiced.

If Xero, QuickBooks, Stripe or GoCardless is connected, sends it there within a few minutes.

When it is blocked

"add at least one line".

"an invoice cannot have a negative total; use a credit note".

"add your company name and address in Settings first" or "add your VAT number in Settings first".

If the PDF fails, the invoice is still issued: use Download PDF to try again.

Questions

Can I undo issuing?

No. Issued invoices keep their number. Credit it in full and invoice again.

Are invoice numbers ever skipped?

A number is given only at the moment of issuing, so drafts you delete do not use one.
