Step by step
- Sign in to SubClik as an owner or admin and open Administration › Integrations (it opens on the Accounting tab).
- Under Xero press Connect Xero. The Xero sign-in page opens: sign in with your own Xero login.
- Choose the organisation the invoices belong to and press Allow access. You come back to SubClik with "Xero connected. New invoices go to Xero when they are issued."
- Check Sales account code (200 is Sales in a new Xero file; see Xero › Accounting › Chart of accounts).
- Choose Invoices arrive in Xero as: Approved (ready to send and reconcile), Awaiting approval or Draft.
- Leave both boxes ticked: Send each invoice and credit note to Xero when it is issued and Mark invoices paid here when the payment is recorded in Xero (every 30 minutes). Press Save settings.
- Issue an invoice in SubClik: it appears in Xero › Sales › Invoices within about 2 minutes.
What goes to Xero
Every invoice and credit note as soon as it is issued, with the customer, lines, VAT and due date. Drafts are never sent.
Customers are found in Xero by name, or added.
Payments recorded in Xero (for example from your bank feed) mark the invoice paid here every 30 minutes, so overdue lists stay right.
Optional: purchase orders as draft bills once they have arrived (tick it in the settings and set the purchases account code). Suppliers are found in Xero by name, or added. You approve the bills in Xero.
Once connected
The card shows when it was connected, how many documents are in Xero, the last sync, when payments were last checked and how many are waiting to be sent.
Buttons: Sync now, Disconnect, Send earlier invoices, and Connect again when the status is Needs attention.
Connecting is recorded in the Audit log.
If it did not connect
"Xero was not connected (cancelled)." means you closed or cancelled the Xero page. Press Connect Xero again.
"Xero was not connected." with a reason: read the reason, then try again.
Questions
We don't have Xero yet.
Create an organisation at xero.com first. Xero is paid by your firm, not through SubClik.
Can I connect Xero and QuickBooks together?
Each is connected separately. Normally a firm uses one accounting system.
I already have invoices in SubClik from before I connected.
Use Send earlier invoices with a start date to send them too.
An invoice is not in Xero.
Look for it under Not accepted by Xero on the Integrations page; the reason is shown next to it.
