Your accounts, your money
Each firm connects its OWN Xero, QuickBooks, GoCardless and Stripe account. Invoices go into your accounts and payments go straight to your bank, never through SubClik.
SubClik never sees your Xero or QuickBooks password: you sign in on their own page and allow access. GoCardless and Stripe keys are checked with the provider and stored encrypted; they are never shown again.
You can disconnect at any time. What is already in your accounting system stays there.
The tabs
Accounting: Xero and QuickBooks (and Sage Business Cloud, coming soon).
Getting paid: GoCardless (Direct Debit) and Stripe (card payments).
Calendar: Calendar on your phone, a private calendar link with all jobs.
Chat & automation: Webhooks — Slack, Microsoft Teams, Zapier, Make: messages when printers have problems or jobs and invoices change.
API: API keys and API reference: read-only access for your own programs.
Each part has a Guide button with step-by-step instructions.
On the printer monitoring plan only the Chat & automation and API tabs are shown.
Status labels
Not connected, Connected, or Needs attention (red) when the provider refused the connection or a key stopped working. The red box says what is wrong.
Questions
Do I need Xero to use SubClik?
No. Invoices work on their own. Without an accounting connection you can still use Finance › Invoices › Export (CSV).
Does SubClik take a cut of payments?
No. GoCardless and Stripe charge their own fees on your own account. SubClik is not in the money flow.
Who can connect integrations?
Owners and admins only. Others get "Only owners and admins can manage integrations."
It says "is not switched on for SubClik yet".
The SubClik team has not finished registering that app with the provider yet. Nothing is wrong with your account. Until then use the CSV export.
Is it safe to paste my Stripe key?
It is checked with Stripe, stored encrypted and never shown again. A restricted key with only the access SubClik needs is safest.
Works together with
- Connect XeroSend every invoice and credit note to your own Xero organisation as it is issued, and mark invoices paid here when the payment is recorded in Xero.
- Connect QuickBooks OnlineSend every invoice and credit note to your own QuickBooks Online company as it is issued, and mark invoices paid here when the payment is recorded in QuickBooks.
- Connect GoCardless (Direct Debit)Collect invoices by Direct Debit into your own GoCardless account. Customers sign a mandate once; each invoice is then collected on its due date and marked paid here.
- Connect Stripe (card payments)Give each issued invoice a card payment link (with Apple Pay and Google Pay), paid into your own Stripe account and marked paid here.
- See jobs in Google, Outlook or iPhone calendarA private calendar link that Google Calendar, Outlook or Apple Calendar reads by itself, so jobs show in the calendar you already use.
- Webhooks: messages in Slack, Teams, Google Chat, Zapier or MakeSend a message to a chat channel or an automation tool when a printer has a problem, a job is logged or completed, or an invoice is issued or paid.
- API keys: let your own software read your dataCreate a read-only key so a program (Power BI, your billing system, a spreadsheet script) can read your printers, daily meter readings and printer events.
- Invoices not accepted by Xero or QuickBooksWhat to do when an invoice did not reach your accounting system, or the integration shows Needs attention.
- The setup wizardThe first time an owner or admin signs in, SubClik walks you through setting up your firm, one step per screen. Four steps are required before the portal opens; the rest you can do now, later or skip.
