Step by step
- Office: press + New job (or Jobs & planning › Jobs › + Log a call). Choose the customer, site and machine, the job type and what is wrong, then the engineer and priority, and press Log the call.
- Engineer: the job appears on their phone. They press Accept, then travel, arrive and start work; the times are recorded.
- Engineer: they record meter readings, parts used from their van, photos and checklist results, write the resolution and get the customer's signature, then complete the job. The customer can get a PDF job sheet by email.
- Office: the finished job waits for review. Check the time, parts and charges, confirm the rates and close it (or send it back with a reason).
- Owner or admin: Finance › Invoices shows the job on the Ready to invoice tab. Create the invoice, check the lines and issue it. If Xero or QuickBooks is connected, it can go there automatically or with Send to Xero.
Tips
- Set up your standard rates first (setup wizard or Administration › Settings › Service defaults), otherwise labour shows £0.
- A machine with its meters set up lets the engineer record readings that feed contract billing.
