The roles
Owner: everything, including other owners, billing and security settings. Every firm has at least one owner.
Admin: everything an owner can do except managing owners and a few security settings. Sees invoices, bank details and all customers.
Dispatcher: logs and assigns jobs, manages customers, machines and the calendar. Does not see invoices, contracts or bank details.
Engineer: sees only the jobs assigned to them, on the engineer app. Can be marked as a subcontractor (someone you give work to) with their own pay rates and a statement.
Customer portal: a person at one of your customers. Sees only that customer's machines, service calls and invoices.
Your data stays yours
Each firm's data is kept apart in the database itself, not just hidden on screen: another firm can never see your customers, jobs or invoices, and SubClik staff do not use your data.
Questions
How do I change someone's role?
Open Team › Engineers & team, click the person and change the role on the Details tab. Only owners can make someone an owner.
Someone left. How do I stop their access?
Open the person under Team › Engineers & team and deactivate them on the Details tab. They can no longer sign in; their past jobs and history stay.
Works together with
- Invite someone to the teamGive an engineer, dispatcher, admin, owner or customer a login: they get an email with a link to set a password.
- Two-step sign-inA 6-digit code, sent to your email or shown by an authenticator app, asked for after your password. It protects owner and admin accounts, which can see invoices, bank details and every customer, if a password leaks.
- The customer portalYour customers sign in to see their machines per site (status, toner, last readings), their service calls with the engineer's visit, the toner sent and their invoices. They can send meter readings, report a fault with a photo, order toner and pay online.
- Audit log: who changed whatA permanent record of important changes: team access, settings, bank details, job rates, contract billing, integrations, API keys, printer agents and payments brought in automatically. Entries cannot be edited or deleted.
