Step by step
- The customer opens Invoices in their portal. Open invoices show Due <date> or Overdue; paid ones show Paid.
- If you take card payments (Stripe), an open invoice has Pay by card: it opens a secure payment page.
- If you invited them to Direct Debit (GoCardless), a banner says your firm invites them to pay by Direct Debit, with Set up Direct Debit.
- Invoices collected by Direct Debit show Direct Debit on <date>.
Set-up in the office
Card payment links need Stripe connected; Direct Debit needs GoCardless connected and a mandate request sent to the customer.
Works together with
- Connect Stripe (card payments)Give each issued invoice a card payment link (with Apple Pay and Google Pay), paid into your own Stripe account and marked paid here.
- Connect GoCardless (Direct Debit)Collect invoices by Direct Debit into your own GoCardless account. Customers sign a mandate once; each invoice is then collected on its due date and marked paid here.
- InvoicesCreate invoices from finished jobs or from scratch, issue them with your numbering, send the PDF or send them to Xero, record payments and correct mistakes with credit notes.
- Record a paymentRecord money received against an issued invoice: amount, date, method and reference. Part payments are fine.
- The customer portalYour customers sign in to see their machines per site (status, toner, last readings), their service calls with the engineer's visit, the toner sent and their invoices. They can send meter readings, report a fault with a photo, order toner and pay online.
