Customer accepts a quote by link

The customer opens the quote link from your email, checks the lines and totals, and accepts it with their name and optional PO number. You are told straight away.

Where: Customer opens the link in the quote emailFor customers, Owners, admins, dispatchers

Step by step

  1. The customer opens the quote link.
  2. They see the quote number (and version if revised), who it is for, the job number if linked, the valid-until date, each line with quantity, price and VAT, and the subtotal, VAT and total.
  3. Under Your answer they type Your full name and, if they want, a Comment or purchase order number (optional).
  4. They tick "I can approve this work and the price above for …".
  5. They tap Accept quote. They see "Thank you. The quote is accepted and the team has been told."

Rules

The tick box is required to accept: "Tick the box to confirm you can approve this work." Declining does not need it.

A quote can be answered once. After that the page shows Accepted (or Declined) and who decided.

Expired quotes cannot be accepted: "This quote has expired. Please contact us for an updated price."

When you revise a quote, the old link says it was "replaced by a newer version". Send the new link.

VAT is only shown if your firm is VAT registered.

What happens next

The quote's status changes to Accepted with the name, time and comment, and the decision is written to the audit log.

If the quote is linked to a job, the quote's subtotal (ex VAT) becomes the job's approved amount and a note is added to the job ("Quote … accepted by …"). The engineer's Cost limit on that job rises to match.

Questions

It is saved as the customer's note on the quote, for the office to use on the invoice.

The customer wants changes.

They can decline with a comment, or call you. Revise the quote and send the new version.
