Turn an accepted quote into a contract

When a customer accepts a quote for ongoing service or rental, make the contract from it in one step: the customer, the machines and the clear amounts are filled in, and the contract keeps a link to the quote.

Where: Jobs & planning › Quotes › (accepted quote) › Turn into a contractFor Owners, admins

Step by step

  1. Open the accepted quote (accepted by the customer's link or recorded by the office).
  2. Press Turn into a contract at the top right. New contract opens for the quote's customer.
  3. The first card lists the quote lines and what each one was used for: Rental, Service fee or Not used.
  4. Check the ticked machines, the rental per machine, Bill every and the Service fee per period. The notes already say From quote Q-….
  5. Press Create contract. Back on the quote, the Accepted card links to the new contract.

What is filled in

Customer: the quote's customer (it cannot be changed here).

Machines: the machine of the quote's job, and any machine whose serial number is written on a quote line. If no machine is named, every machine of the customer is ticked, as usual.

Rental: a line with rent or rental in it goes to the machine it names, or to the only machine on the contract. A line like "Rental" × 3 for three machines gives each machine the unit price.

Service fee: lines about a service or maintenance fee, contract or plan, or service priced per month, quarter or year.

Bill every: month, quarter or year when those lines say so (for example the unit is "month"). Otherwise quarterly. If lines name different periods, the one most lines use is chosen and the other amounts are converted to it (for example 30 per month becomes 90 per quarter).

Anything that is not clear is left for you. Labour, parts and one-off work are not used.

One contract per quote

A quote becomes one contract only. If a contract already exists, the quote shows a link to it and New contract says which contract it is.

Only an accepted quote can be turned into a contract. Make a New version of a declined or expired quote first.

Questions

Why can't I see Turn into a contract?

Only owners and admins create contracts, and only for an accepted quote. If the quote already has a contract, you see its link instead.

Can I change the amounts?

Yes. Everything filled in is only a suggestion until you press Create contract, and you can change the contract afterwards as usual.
