What a contract covers on jobs

Tick what the contract fee already pays for: call-out, labour, travel and mileage, parts, toner and consumables. Those are not invoiced on the contract's jobs.

Where: Finance › Contracts › (contract) › Details & terms › Contract detailsFor Owners, admins

Step by step

  1. Open the contract and click the Details & terms tab (or use the + New contract form).
  2. Under Included in the contract (not invoiced on its jobs), tick the items: Call-out, Labour, Travel & mileage, Parts, Toner & consumables.
  3. Click Save (or Create contract).

How it works on a job

When a job is logged under the contract, each charge is checked: call-out, labour, travel time, mileage and each part.

Ticked items show on the job's charges as covered by the contract and are left off the invoice. Unticked items are invoiced as normal.

Parts and consumables are told apart by the item's kind in your price list: a consumable (toner, drum, waste box) follows Toner & consumables, everything else follows Parts.

A free callback (a return visit to a recent repair) is not charged whatever the contract says.

Minimum charges and rounding

Minimum labour time and rounding come from the rates on the job (set in Settings). They only matter when labour is not covered.

Tips

  • If a customer's contract covers parts but not toner, make sure toner items in the price list are marked as consumables.

Questions

If nothing is chargeable, can I still invoice the job?

No. Creating the invoice says "nothing left to invoice on the chosen job(s): already billed, covered by contract or a free callback".

Does changing coverage change jobs already invoiced?

No. Coverage is checked when you create the invoice.
