Step by step
- Go to Customers & machines › Meters & toner and click the To check tab (it shows the count). The bell also links here.
- Customer readings are under Sent by customers, printer readings under Read from the printers. For each row, compare Sent (or From the printer) with Last saved, and read Why it was held.
- If the figure is right, press Save.
- If it was mistyped and you know the right figure, change the number in the box first, then press Save.
- If it is wrong, press Reject.
Reasons you may see
"lower than the last reading (… on …)", "higher than a later reading (…)", "unchanged since …", "the date is in the future", "much higher than usual (expected up to about …)" and "a very large jump since the last reading".
What happens
Save stores the reading on the machine ("Reading saved."). Reject throws it away ("Reading rejected."). If someone else already dealt with it you see "this reading has already been dealt with".
Tips
- A reading lower than the last one after an engineer changed a main board is real: save it, then check the next bill.
Works together with
- Meters & tonerEvery machine's counters, toner and errors, grouped by customer. Ask customers for their counters by link, check readings that look wrong before they reach a bill, and export the month's readings.
- Reading historyThe last 100 meter readings of a machine, with how much each meter went up and where the reading came from.
- Contract billingEach period: calculate a run for the dates, fix flagged lines, finalise, then create the invoices. The same dates can never be billed twice.
