Subcontractors: work we give out

Give jobs to a self-employed engineer or another firm's engineer, see which machines they worked on, the parts they fitted and what each job cost you, while the customer and the machine stay yours.

Where: Team › Engineers & team › + Invite someone › SubcontractorFor Owners, admins

Step by step

  1. Go to Team › Engineers & team and press + Invite someone.
  2. Enter their Email and Name, keep the role Engineer and choose Subcontractor (we pay them per job) under Works as.
  3. Optionally fill in Their business name (optional), Per visit (£), Per hour (£) and Per mile (£) as agreed with them, then press Send invitation.
  4. When you log a call, choose them in Engineer under Subcontractors (we pay them).
  5. On the job page, the Subcontractor cost card shows their rates. Leave Agreed cost empty to work it out from their rates and recorded time, or enter what they invoice for this job (with Their invoice number or note), then press Save.
  6. At the end of the month, open their page and the Statement tab: choose This month, Last month, Last 3 months or This year.

What they see

They sign in to the engineer app and see only the jobs you assign them (and jobs they joined as crew): the customer's address, the machine, its history and the fault. No prices, no invoices and no other customers.

They record time, mileage, parts, photos, readings and the customer's signature the same way your own engineers do.

What you see

Statement: for each job, the Customer / machine, the Work done (hours and miles), the Parts they fitted and the Cost to us, with totals at the top.

On the machine page, the service history shows Done by for each visit, with a Subcontractor label when one did it, so you can see when you fixed it and when they did.

Who pays and who does the work are separate

A subcontractor can do your own customer's job, or a job a firm sent you. The customer or firm is invoiced as usual; the subcontractor's cost only shows on your side.

A firm that sends you work is a company (Customers & firms); a subcontractor is a person on your team.

Questions

Do they get access to our customer list?

No. Subcontractors are engineers: they only see the jobs you assign them.

Can they see what we charge the customer?

No. Rates, prices, contracts, rentals, copy prices and invoices are office-only: the system does not hand them to engineers or subcontractors at all, not just hide them on screen.

When does a job count on the statement?

When they led it and it was completed in the period, or when they recorded time on it in the period. Cancelled jobs are left out.
