Add a machine

Add a copier or printer at a customer site with its meters, in one step; you can create a new customer and site at the same time.

Where: Customers & machines › Machines › + Add machine (or the customer page › Add a machine)For Owners, admins, dispatchers

Step by step

  1. Go to Customers & machines › Machines and click + Add machine above the list. The form folds open.
  2. In Where is the machine?, choose the customer site (one list, sorted by customer).
  3. If the site is new, choose + New customer or site…: pick the Customer (or leave New customer… and type the New customer name), then enter Site name, Address, Town / city and Postcode.
  4. Enter Make, Model and Serial number (all required), and optionally Asset ID and Location in building.
  5. Choose Meters: Colour machine: mono + colour, Colour machine + scan meter, Mono-only machine, Mono-only + scan meter, Single total meter or Set up later.
  6. If another firm sends you the jobs on it, choose that firm in Who do we service it for? (For <firm> (they pay)). Otherwise leave Us (our customer or our stock). The choice only shows once you have a firm that sends you work.
  7. Press Add machine. You see "Machine added."

From the customer page

On an own customer's page (tab Sites, machines & contacts), Add a machine under Machines has the same fields but lets you choose only that customer's sites. It needs at least one site first.

On a firm's page, Add a machine for … presets Who do we service it for? to that firm.

What gets created

The machine, its meters (from the Meters choice) and, if you chose + New customer or site…, the new customer and site, all in one go. The machine gets its own QR label straight away.

If the SubClik agent or Box at that customer later finds a printer with the same serial number, it is linked automatically and starts sending meters and toner levels.

Tips

  • Type the serial number exactly as on the machine's label: monitoring matches printers by serial.
  • Use Location in building ("2nd floor print room") so the engineer finds the right one at a big site.
