Counter reset or replaced, and swapping a machine

Record a new counter (main board, cleared meter) or a replacement machine, so billing counts the old part and the new part of the period, never a minus or a huge jump.

Where: Customers & machines › Machines › (machine) › Details & settings › Counter change or swapFor Owners, admins, dispatchers

Step by step

  1. Open the machine and click the Details & settings tab, then Counter change or swap.
  2. New counter: press Counter reset or replaced, enter the date and, for each meter that changed, where the old counter ended and where the new counter starts. Press Save counter change.
  3. New machine: press Swap this machine, choose the replacement (one of the customer's machines not on a contract) or A new machine with its make, model and serial, the date, and for each meter the final reading of this machine and the first reading of the replacement. Press Swap machine.

What billing does

Counter change: copies = (old counter end − opening reading) + (closing reading − new counter start).

Swap: copies = the old machine's part (opening reading to its final reading) + the replacement's part (its first reading to the closing reading), on one line for the replacement, with the old machine named on it.

Each part is billed once: the old machine is not billed again, and a period before the swap still bills the old machine.

What a swap changes

The replacement moves to the old machine's site and joins its contracts with the same copy prices, bands and machine charges (rental).

The old machine leaves those contracts. Its readings, jobs and billing history stay; archive or move it afterwards.

History and mistakes

The machine's Meters & readings tab lists Counter changes and swaps; their readings are marked Counter change / swap and cannot be deleted one by one.

Owners and admins can Undo a counter change entered by mistake, unless a finalised billing run already used it.

Questions

Who can do this?

The office records counter changes. Swapping a machine changes contracts, so only owners and admins can do it.

There is already a reading on that day.

It is kept with the counter its number is closest to. If the readings of that day are mixed up, correct them first.
