Step by step
- Open Administration › Settings and click Job types → after the tabs (or Manage job types on Log a call).
- Press + New job type to add one, Edit on a row to change it, or Stop using to hide it from Log a call.
What you see
In use (N): a table with Job type, Category, Asks for (Machine: a machine must be chosen; Access details: asks for floor, stairs, lift and parking), Checklist (how many items) and Charge (the fixed charge, if any), with Edit and Stop using on each row.
Not used (N) (folded): types you stopped using, with Use again.
+ New job type at the top right opens a side panel to create one.
The types you start with
New firms start with Repair / breakdown, Preventive maintenance, Installation, Delivery, Collection / removal, PaperCut installation, Firmware update and more, each with a ready-made checklist. Change them to suit you.
Where job types are used
When the office logs a call, the job type must be chosen (in section 2 The job). If the type requires a machine, the job cannot be saved without one. If it asks for access details, the form asks for floor, stairs, lift and parking and the delivery access charges from Service defaults apply.
The type's fixed charge (Charge on the job) is added to the job when it is logged.
On the phone, the engineer works through the type's checklist. Items marked with * must be done before the job can be completed.
Tips
- Keep checklists short: 3 to 8 items that really matter. Engineers fill them in on a phone.
- Use Order in lists (10, 20, 30…) to put your most-used types first.
Ideas to try
- Add a "Toner delivery" type with a short checklist and a fixed delivery charge.
- Add a "Site survey" type for new installations, with [text] items for network details and room access.
- Use [firmware] on a firmware update checklist so the machine's firmware version is kept up to date by itself.
Questions
Can I delete a job type?
No, because old jobs refer to it. Press Stop using instead: it disappears from Log a call but old jobs keep it.
Who can change job types?
Owners and admins.
Does changing a checklist change jobs already logged?
The engineer always sees the job type's current checklist. Answers already given keep their item when the item's wording stays the same.
How do I charge £250 for every PaperCut install?
Add a service "PaperCut installation" at £250 in Parts & vans › Parts & services, then choose it under Charge on the job for the PaperCut type.
Why can't I choose a charge?
Charge on the job lists active services from Parts & vans › Parts & services. If there are none, the page tells you to add them there first.
