Step by step
- Open Administration › Settings › Invoices.
- Under Bank details (owners and admins only) fill in Bank, Account name, Sort code and Account number.
- For customers abroad add IBAN (optional) and BIC / SWIFT (optional).
- Press Save invoice settings.
Checks
Sort code: 6 digits, with or without dashes; it is saved as 12-34-56. Otherwise "Sort code must be 6 digits, e.g. 12-34-56."
Account number: 6 to 10 digits: "Account number must be 6–10 digits."
IBAN is saved without spaces in capitals; a wrong format gives "IBAN is not valid." BIC must be 8 or 11 characters.
Safety
Every change to bank details is recorded in the Audit log (who, when and which fields), so a sneaky change cannot go unnoticed.
Turn on Require two-step sign-in under Security so a leaked password is not enough to change your bank details.
Questions
A customer says our bank details changed. Did they?
Check Administration › Audit log for "Bank details changed". If nobody in your firm did it, change your passwords and turn on two-step sign-in.
Works together with
- Invoice settings: numbering, terms, VAT, bank details and footerHow your invoices and quotes are numbered, when invoices are due, the default VAT rate, the bank details printed for transfers and the footer text.
- Audit log: who changed whatA permanent record of important changes: team access, settings, bank details, job rates, contract billing, integrations, API keys, printer agents and payments brought in automatically. Entries cannot be edited or deleted.
- Require two-step sign-in for owners and adminsMake every owner and admin of your firm enter a 6-digit code (by email or from an authenticator app) when they sign in, so a leaked password alone cannot open invoices, bank details and every customer.
- Connect GoCardless (Direct Debit)Collect invoices by Direct Debit into your own GoCardless account. Customers sign a mandate once; each invoice is then collected on its due date and marked paid here.
- Connect Stripe (card payments)Give each issued invoice a card payment link (with Apple Pay and Google Pay), paid into your own Stripe account and marked paid here.
