Step by step
- Once: under Cartridge per model, choose for each printer model and colour the cartridge from your catalogue and the supplier, and press Save. Enter the cartridge cost under Meters & toner › Toner yield; it becomes the price on the order.
- Under To order, choose how far ahead (7 to 30 days). Each cartridge shows how many are Needed, In stock, the stores' Minimum, On order and To order.
- Press Make the draft orders. You get one draft per supplier.
- Open the draft, check the quantities and press Email to supplier and mark as ordered.
- Optional: under Every morning, tick the box and the drafts are brought up to date each morning. You still check and send them.
How it is worked out
Needed: one cartridge for every monitored toner expected to run out within the days chosen, except toner recorded as sent to that customer in the last 30 days (Toner to send).
To order = needed + the minimum set for your stores − what is in your stores − what is on orders not yet arrived. Vans are not counted.
Made again, an untouched toner draft is replaced with the new figures, never doubled. Once you change or send it, it is an ordinary order: it is left alone and counts as on order.
What it does not do
It never sends an order by itself.
Works together with
- Purchase orders and suppliersOrder parts from your suppliers, see what is on the way, and book deliveries straight into stock. Parts marked To order on a job become an order in one click, and you are told when they have all arrived.
- Toner running out (forecast)SubClik works out from each printer's daily toner levels when each toner will run out. The forecast card lists those expected to run out in the next 14 days.
- Toner to send: record toner sent and email the customerSee toners expected to run out in the next 3 weeks, record what you sent, and optionally send the customer a toner is on its way email.
- Toner yield and cost per pageHow many pages each toner cartridge really printed, against what the maker declares, which machines use more toner than they should, and what a page costs in toner.
- StockHow many of each part you have in the main store and in every engineer's van, what is below its minimum and every movement.
